Job Summary:

The Agricultural Sales Support role provides administrative, commercial and customer support to the agricultural sales team throughout the complete sales process. The position helps ensure customer enquiries, quotations, orders, machine information and internal communications are handled accurately and promptly. Working closely with sales, service, parts, warranty, transport and accounts, the role contributes to a professional customer experience and the efficient completion of new and used machinery sales.

Key Responsibilities:

  • Sales Administration: Provide day-to-day administrative support to agricultural sales representatives and managers, ensuring sales documentation and records are accurate and complete.
  • Customer Enquiries: Respond to telephone, email and in-person enquiries, gather relevant information and direct opportunities to the appropriate salesperson.
  • Quotations & Proposals: Assist with the preparation, formatting and issue of quotations, specifications, finance information and supporting sales documents.
  • Lead & CRM Management: Record and update customer details, leads, opportunities, follow-up activity and sales progress within the company CRM or dealership management system.
  • Order Processing: Prepare and process sales orders, purchase orders, deal files and internal paperwork, checking that agreed specifications, pricing and customer requirements are recorded correctly.
  • Machine Information: Maintain accurate new and used machinery information, including specifications, photographs, stock records, pricing and website or advertising listings.
  • Handover Coordination: Support the planning of machine preparation, pre-delivery inspection, installation, transport, registration and customer handover requirements.
  • Internal Coordination: Liaise with sales, service, parts, warranty, transport and accounts to monitor progress, resolve queries and help ensure agreed customer commitments are met.
  • Stock & Demonstration Support: Assist with sales stock administration, demonstrations, machine availability and the preparation of information required by the sales team.
  • Marketing & Events: Support open days, shows, product launches, customer events and sales campaigns, including invitations, customer information, lead capture and follow-up administration.
  • Reporting: Prepare routine sales, enquiry, order, stock and activity reports as required by management.
  • Compliance & Confidentiality: Handle customer, pricing and commercial information responsibly and follow company procedures, data protection requirements and health and safety rules.

Skills:

  • Organisation: Strong planning and prioritisation skills, with the ability to manage several enquiries, orders and deadlines at the same time.
  • Communication: Clear, professional written and verbal communication with customers, suppliers and colleagues.
  • Customer Focus: Helpful, approachable and proactive manner, with a commitment to delivering a high standard of customer service.
  • Accuracy: Excellent attention to detail when preparing quotations, processing orders and maintaining customer and machine records.
  • Commercial Awareness: An understanding of the importance of pricing, margin, stock control, lead follow-up and timely completion of sales administration.
  • IT Capability: Confident use of Microsoft Office and the ability to learn CRM, dealership management and manufacturer systems.
  • Agricultural Knowledge: A practical understanding of farming and agricultural machinery, or the willingness and ability to develop this knowledge.
  • Teamwork: Works effectively across sales, service, parts, warranty, transport, marketing and accounts with a positive and “can do” approach.
  • Problem Solving: Able to identify missing information, resolve routine queries and escalate issues appropriately.
  • Initiative: Self-motivated and able to work independently while keeping the wider sales team informed.

Qualifications & Experience:

  • Good general IT skills, including Microsoft Outlook, Word and Excel (essential)
  • Strong written and numerical accuracy (essential)
  • Full UK driving licence (essential)
  • Previous experience in sales administration, sales support, customer service or a similar commercial role (desirable)
  • Experience of working with CRM, order-processing or dealership management systems (desirable)
  • Knowledge of agriculture, agricultural machinery or the rural sector (desirable)
  • Experience within a machinery dealership, vehicle dealership or related technical sales environment (desirable)
